What Is n8n? What It Does and How to Use It: A Corporate Guide (2026)

n8n is a workflow automation platform that lets you connect different apps and services in a visual editor and automate the work between them. You can start without writing code and extend it with JavaScript when needed. It runs on your own server (self-hosted) or on n8n Cloud, and it has become a popular choice for building AI agents. This guide explains what n8n is, how it works, where companies use it, and how to start learning it.

What is n8n?

The name n8n is short for “nodemation” (node + automation): eight letters sit between the first and the last “n”. The tool is developed by n8n GmbH, based in Berlin. It lets you build workflows that run a series of steps automatically when an event happens, for example when a form is submitted or a scheduled time arrives. Each step is a node: a node that reads email, a node that adds a record to your CRM, or a node that asks an AI model a question.

The source code of n8n is available, but instead of a classic open-source license it is distributed under the “fair-code” approach, with the Sustainable Use License. Check the license terms before using n8n in a business setting.

What is n8n used for?

n8n is used to automate repetitive work that involves more than one system. Typical uses include:

  • Saving requests from a form to the CRM and notifying the right team
  • Collecting data from different systems and sending a periodic report by email
  • Classifying incoming emails, support requests or documents and routing them to the right person
  • Keeping data in sync between systems
  • Building summarization, classification and content workflows with AI models
  • Developing AI agents that use tools and chatbots that work with company data

Core concepts in n8n

Six concepts are worth knowing before you start:

ConceptDescription
WorkflowAn automation made of connected nodes that does a specific job
NodeA single step in the workflow: it talks to an app, transforms data or makes a decision
TriggerThe event that starts the workflow: a webhook, a timer, a form submission or an app event
ExecutionThe record of one run of a workflow; you inspect it when debugging
CredentialsAPI keys and sign-in details used to connect to apps, managed separately from workflows
ExpressionA dynamic field that lets you use data from earlier nodes in later steps

How does n8n work?

Take a quote form on your website. When it is submitted, a workflow like this can run:

  1. Trigger: A webhook or form node receives the request.
  2. Data preparation: Name, email and message fields are cleaned up. If needed, an AI node sorts the request into categories.
  3. Record: A CRM node creates the contact and the request.
  4. Notification: A short summary goes to the team channel, for example Slack or email.
  5. Error handling: If a step fails, an error workflow starts and notifies the owner.

Data moves between nodes as JSON. For a service without a ready-made node you can use the HTTP Request node, and for custom logic you can use the Code node.

n8n use cases in companies

  • Sales and marketing: Lead routing, lead scoring and CRM updates
  • Operations: Report automation and data transfer between systems
  • Customer service: Ticket classification and drafting suggested replies
  • IT: Notifications, incident management and routine maintenance workflows
  • AI: Chatbots grounded in company data and agents with human approval

n8n Cloud or your own server?

  • n8n Cloud: n8n handles setup and maintenance, so it suits a fast start. Where your data is processed should be checked against your corporate and legal requirements.
  • Self-hosted: You run it on your own server, usually with Docker. You control the data and the backups, and you are also responsible for updates, backups, access control and security. For heavy workloads, n8n’s queue mode can be used.

The choice depends on how sensitive your data is, how technical your team is and how large the workload is.

Is n8n free?

The community edition that you run on your own server can be used free of charge, subject to the Sustainable Use License. The cloud version and some enterprise features are paid. Prices and license terms can change, so check n8n’s official pricing and license pages before you decide.

n8n, Zapier and Make compared

All three connect different apps visually. The differences show up in how they run and how flexible they are:

Criterionn8nZapier and Make
How it runsCan run on your own server or in the cloudOffered as a cloud service
Extending with codeWide flexibility with the Code node and HTTP RequestOffer code steps and HTTP requests; the scope varies by tool
Data controlWith self-hosting, data stays in your own infrastructureData is processed in the provider’s infrastructure
OverallBetter suited to technical teams; flexible, with a slightly higher entry barrierGood for a quick start; usage is billed in different units depending on the tool

To decide which fits, weigh your workflow volume, your data security requirements and your team’s technical level together.

A roadmap for learning n8n

  1. Learn the concepts of workflow, node, trigger and execution.
  2. Practice talking to external systems with the Webhook and HTTP Request nodes.
  3. Learn to transform data with expressions and the Code node.
  4. Build reliable workflows with error workflows, retries and execution history.
  5. Develop AI workflows with the AI Agent node, tools, memory and a vector database.
  6. Add credential management, authorization and corporate security.

If you want your team to work through this roadmap hands-on, BlueMark Academy’s n8n AI-Powered Workflow Automation & Agent Development Training runs for 2 days and can be planned for your organization, online or in person. You can combine it with the AI Agent Development and Usage Training, which also covers building agents with code-based frameworks. Browse all programs on the artificial intelligence trainings page, and request a corporate quote through the contact form on any course page.

Frequently asked questions

What is n8n?

n8n is a workflow automation platform that connects different apps in a visual editor and automates the work between them. You can start without code and extend it with JavaScript when needed.

Is n8n free?

The community edition you run on your own server can be used free of charge, subject to the Sustainable Use License. The cloud version and some enterprise features are paid. Check n8n’s official pages for current terms.

Do I need to know how to code to use n8n?

Basic workflows can be built with ready-made nodes and no code. For data transformation and custom logic, knowing JavaScript makes the work easier.

Can you build an AI agent with n8n?

Yes. n8n’s AI Agent node lets you build agents that work with a language model, tools, memory and a vector database. In a business setting, add human approval for critical actions.

Is installing n8n difficult?

With n8n Cloud there is nothing to install. Self-hosting is usually done with Docker; the real workload is in updates, backups and security management after the installation.

How long is the n8n training?

BlueMark Academy’s n8n training lasts 2 days and can be planned for organizations, online or in person.
